Customer Service Representative

Permanent Part-Time

The Customer Service role at Guy Fuels & Propane offers an exciting opportunity to join a team dedicated to exceptional customer service and a supportive, dynamic work environment. As a local family business, we have been delivering personalized energy solutions to our commercial, residential, and agricultural customers in Eastern Ontario and the Ottawa Region for over 30 years.
In this role, you will handle a variety of tasks aimed at ensuring customer satisfaction, including reconciling cardlock receipts, managing equipment contracts, scheduling deliveries, processing payments, and addressing customer inquiries. You will also be responsible for generating and monitoring invoices, conducting inventory reviews, and performing daily IT backups.

What you’ll be doing:

  • Ensuring a positive experience, assist customers and handle transactions in person, on the phone and over email.
  • Reconcile receipts to statements, manage contracts, record delivery fees, and order supplies.
  • Maintain and review tank monitors, conduct inventory reviews, and schedule deliveries.
  • Process payments, credit checks, monthly invoicing, seasonal adjustments, daily pricing, and preauthorized payments.
  • Handle and follow up on customer inquiries via phone and email.
  • Open new accounts, follow up on delivery schedules and payments, and generate reports from invoicing data.
  • Generate and send invoices, monitor overdue accounts, apply payments, and reconcile accounts.
  • Prepare reports and assist in month-end closing processes.
  • Process credit card transactions, reconcile costs, enter ledger entries, pay suppliers, and manage invoicing.
  • Maintain contact lists, manage office supply requests and orders, and order marketing materials, clothing, uniforms, and PPE for drivers.


Who you are:

  • Focused on delivering measurable outcomes
  • Highly collaborative with strong teamwork skills

Preferred:

  • Industry-specific knowledge and experience in fuel and propane distribution.
  • Post-secondary education in business administration, accounting, or a related field.

Schedule:

  • Hours:
    - Summer: 20 Hours per week + Vacation Coverage
    - Winter: 25 Hours per week
  • In-Office only
